Recording Payments

Last Update :  August 2026

Online Dues Payment

If a new member signs up online and pays their dues online (provided you have a merchant account or PayPal account), a payment is recorded in the billing system automatically.

Similarly, if an existing member chooses to renew online, this payment is recorded automatically as well.

Members can renew and pay dues after receiving an invoice email. The invoice email includes links to renew and pay online or to cancel.

Members can also pay renewal dues and other invoices within the members area. If they have an unpaid invoice, a "Pay Membership Dues/Fees link is presented under My Membership.

Avoiding Confusion

On the public side of your website, it's important to explain how people can join online or how existing members can pay renewal dues online. Otherwise, you may have the problem of existing members trying to pay renewal dues by joining again as a new member. That creates a mess with double records.

Where you have a link for people to join, include information about how to renew. Mention responding to email renewal notifications, logging in to the members area, or where to send check payments.

One handy feature that can help avoid this confusion is to offer a link to allow members to request an invoice to be re-sent to them. (in case they lose the renewal email mentioned above). The URL for this link is available in MMS Config, system links. Look for Renewal Invoice Request

Manual Entry (check payments)

As members pay their dues by check, it is very important that these payments be entered into the system. Select "Enter Payment" from the Renewal System menu. After you select the member, enter the amount of the payment.

Manual Entry (credit card)

Organizations who are using Authorize.net as a merchant account gateway have the option to process card transactions from the member billing system. Look for "Process Payment via Authorize.net".

Members Area Widgets

If your organization is using the V6 Custom Member Menu, you may add a widget to your member's area that shows the member's current balance due. If the balance is greater than zero, the widget will contain a button that allows the member to pay their dues.
