Match - Merge

Duplicate records can be merged, combining their data and MMS activity into one record.
We have two tools available to complete member merges. The match-merge report that allows for quick identification of duplicate records, and facilitates merges and the manual merge tool that allows for the individual merging of two records.
- Match-Merge Report
This tool must be enabled by support.
Once enabled, the link for the report will appear below the member database.
The report allows you to detect duplicates, then merge records by moving extra records such as invoices and payments associated with one record (the record to be voided), and place them under another record (the record to be retained).
The first step is to run the match-merge report, which can be done based on business name, phone, or last name. Members matching on these fields are then presented. (NOTE: this report is very process-intensive, and may take a few seconds)
You will then get a report with two columns. The column on the right contains the link to the merge tool. -
Manual Merge
Alternatively, you can also get to the merge tool from member database admin, from the tool (function) menu:
After picking the merge option, you'll be presented with a search screen to find the duplicate you want to merge with.

Using the Merge Tool
Once you've arrived at the merge tool (either via the report, or via member database admin) you will then be presented with a two column screen, with the options of selecting which data elements from which source member record you want to retain.

After merging, the combined record will have these selected elements in the profile.
Other items associated with the source records, of which there can be multiple; such as billing records, project/committee assignments, certifications are all retained together under the new record (for example: if you had 1 invoice and 1 payment under record A, and 2 invoices and 1 payment under record B; the new record would have all 3 invoices and 2 payments under the new record).
