The Member Database is the heart of the Membership Management System (MMS). It allows an organization to view and edit member information.


From the Member Database Admin area, administrative-level users can alter any information for all members. Admins can add, change, and delete members.  They also have the capability to change their member status. 



The Officers List (Board of Directors) list is also controlled from the Member Database within member profile edit.

Key Elements and Functions

  • Page Navigation - The bar at the top of the Member Database page contains links that are useful when managing members:
  • Main Menu - Returns you to the main admin menu. (Click the three horizontal bars to reach other MMS modules.)
  • Configuration - Opens the Member Database settings.
  • Help - Opens this help article.
  • Add & Edit - In the filters bar:
  • Add - Creates a new record of the type currently selected in the View dropdown. This is how your admins will create a record for someone who submits a paper membership application or applies over the phone. Check out the Member Database Fields page for more information.
  • Edit - A dropdown button that opens related setup screens: Plans (Member Plans), Fields, Category(s), and Subgroups (where enabled).
  • View & Status - These functions filter which members are shown. Take a look at the Member Database Admin help file for detailed information.
  • Columns (Show/Hide) - Sometimes you need to see more than just the default member table columns. Click the Columns button and select the columns you'd like to view, or deselect unnecessary items. Standard fields and any Dynamic Custom Fields are both available, and your selection is remembered for next time. Note that the Column selections are unique per admin user.
  • Search - You're able to search based on member data. If you know the email address, zip code, first name, or any piece of member data, enter it here and let the MMS narrow down your search! You can also search within an individual column using the field search boxes at the bottom of the table.
  • Sorting & Pagination - Click any column header to sort by it (click again to reverse). Use the “records per page” selector and the First / Prev / Next / Last controls to move through the list.
  • Member Table - Each row has a three-dot (â‹®) menu in the leftmost column. Click it to open a pop-up with the Member Functions available for that record:


  • View - Shows the member's current data.
  • Edit - Allows you to change the member record.
  • Delete - Allows you to mark a member record as deleted (*members with invoices cannot be deleted).
  • Billing - Takes you to the member's billing record.
  • Referral - This link ties directly into the CRM Referral system.
  • Contacts - This link also ties into the CRM Contact System.
  • Merge - Merge one member with another.


Mass Operations & Reports - Depending on your configuration and permissions, bulk tools (such as Member Match-Merge, Mass Drop Non-Members, and Mass Assign Reps) and related reports appear below the table.
