Reports/Lists/Labels can be used to quickly create a report. There are four steps in using this tool:
1. Select a Document Type
There are several document types available. Primarily lists of members and label formats. There is also the capability to export member data in a comma-delimited file. This can then be imported into MS Access or MS Excel to produce complex mail-merges.
2. Select a Query
This is where you select the particular group of members you want a listing for. This can be done by member type, project/committee, email list recipients, etc.
3. Exclude Email recipients?
This is a unique feature of the MMS. If you want to send a quick message out to all members, you can use your members@ email distribution list. You can then use the exclude email recipients function to produce mailing labels for everyone who isn't on the members@ list. In other words, you can send emails to those who are online, and postcards to everyone else.
4. Pick a Sort Order
By default, this is by last name, first name (or organization, if your members are organizations/businesses). But, if you process bulk mailings with the postal service, you can print labels and postcards sorted by ZIP code. This can allow you to process bulk mailings with greater ease and save money with the USPS. If you have over 200 members and would like more information on bulk mailing, go to www.usps.com .
