he Invoice Builder is the tool for making your invoices look like your invoices. You can upload your logo, change the labels and wording that appear on the page, show or hide individual pieces, and position elements such as your logo and address blocks exactly where you want them — all without any technical help. A live preview shows your changes as you make them, so what you design is what your members receive.


How to get there

Open the Finance Dashboard and choose Invoice Builder.


The screen layout

The builder is split into two side-by-side areas:


  • On the left — the editing form. All of your editable fields, grouped into collapsible sections (header, body, footer) that you can expand or collapse. A search box at the top lets you jump to a field by name.
  • On the right — the live preview. A running picture of your invoice that refreshes automatically a moment after each change.


Across the top are the selectors that determine which invoice you’re editing, plus the main action buttons.


Choosing which invoice to edit

You can design different invoices for different situations. Use the selectors at the top:


  • Member Type — edit the invoice for a specific membership type, or choose [Organization Default] to set the baseline every type starts from.
  • Invoice Kind — switch between Dues and Non-Dues invoices.
  • Variant — for dues invoices, design a Current version and a separate Past-Due version.


Defaults and overrides A status line tells you whether you’re looking at a template you’ve customized (“Saved override for this context”) or one still using the organization default (“Inherited from fallback”). If you don’t customize a particular member type, it simply follows your organization default — so you only have to design the exceptions.


Editing text & wording

Each piece of text on the invoice gets its own row in the form, with three parts:


  • The field name on the left, so you know what you’re editing.
  • The input in the middle — a simple text box for short labels, or a full editor for longer message text.
  • A Visible checkbox on the right. Uncheck it to hide that element from the invoice while keeping your text saved, so you can switch it back on later without retyping.


For longer body text, you get a rich-text editor with familiar formatting buttons — bold, italic, underline, strikethrough, text alignment, and undo/redo. Your formatting carries through to both printed and emailed invoices.


Your logo

In the logo row you’ll see a small thumbnail of your current logo (or “No logo” if none is set yet).

  • To add or change it, click the upload button and choose a JPG or PNG from your computer. The thumbnail updates right away.
  • To position it, click Move / Resize. A small panel lets you set the logo’s position and size in inches, and a Lock aspect ratio option keeps it from stretching — change the width and the height follows automatically.


Your logo applies everywhere The logo (and its position) is shared across all of your invoice templates, so you only set it once for your whole organization.


Positioning the addresses

Two address blocks can be placed exactly where you want them, each with its own Move / Resize control:


  • Return Address — your organization’s address, the one that should line up with a window envelope. Set its position and a width that controls where the text wraps.
  • Recipient Address — the member’s mailing address. Position it and set its wrap width the same way.


Like the logo, both address blocks are shared across all your templates, and everything is measured in inches so it maps naturally to a printed page.


Previewing & saving your work

1.Make your edits

Change text, upload your logo, adjust positions, and toggle elements on or off in the left-hand form.

2.Watch the live preview

The preview on the right refreshes on its own as you work. A small yellow dot appears in the corner whenever you have unsaved changes.

3.Check it at full size

Click Open as PDF to see the finished invoice at actual print size in a new tab — the best way to confirm spacing, fonts, and page breaks.

4.Save

Click Save (it stays disabled until you’ve made a change). You’ll get a confirmation, the unsaved-changes dot disappears, and your design is live.


Starting over Changed your mind? Discard changes reloads the last saved version and throws away your unsaved edits. Reset to defaults goes further — it clears the template and restores the standard starting point, so use it only when you want a clean slate.


Tips for everyday use

  • Set your [Organization Default] first — then you only have to tweak the member types that need to look different.
  • The preview uses realistic sample details (a sample name and address), so you can judge spacing just as a member would see it.
  • Always click Open as PDF before a big mailing — the full-size view is where envelope-window alignment really shows.
  • Hide an element with the Visible checkbox instead of deleting its text — it keeps your wording safe for next time.
  • Remember the logo and address positions apply to every template, so adjust them with all your invoices in mind.
