QuickBooks - Connection
Last Update : August 2026
In order to send your transactions (member billing and event registration invoices and payments) from the MMS to QuickBooks, you first need to grant the MMS permission to update your QuickBooks company file. The steps to do this are below.
Before you begin, you will need the following information from your QuickBooks company file:
- User ID
- Password.
(If you are using QuickBooks Online, this is just the login info you use to access it. You will need to make sure that the account has administrative privileges. If you are using QuickBooks Desktop, you may need to create a user ID and password through Intuit, if you have not connected the company file to the Intuit cloud before. Please refer to your QuickBooks manual or the Intuit support desk on how to do this.)
To connect the MMS to QuickBooks, do the following (you will need to be logged in to the MMS as an admin):
- From the Main Menu, scroll down to the "Configuration" box, and click the "MMS Configuration" link.
- Under the subheading QuickBooks Configuration Options, click the "QuickBooks Interface Config" link.
- Near the top of the page, click the "Disconnect from QuickBooks" link.
- Click the link to "Click here to return to QuickBooks Desktop Configuration."
- Click the "Connect to QuickBooks" button near the top of the screen.
- In the pop up window, enter the user ID and password for your QuickBooks company file.
- On the following screen select the company file that you want to connect to. (Most organizations will only see one here.)
- Agree to whatever QuickBooks asks you.
- You should now have a connection between the MMS and QuickBooks!
If you are unable to establish the connection, please submit a support ticket, and include the error that Intuit gives you. (The easiest way to do this by copy-pasting the error, or attaching a screenshot.)
You are now ready to configure the two systems to send transactions from the MMS to QuickBooks.
