Granting Access to Members
Last Update :
While adding or editing a member's information, you can grant them access to the member's area. To do this, fill in the username field and make sure there is a valid email entered in the email field.
If you scroll to the bottom of the screen and click 'Submit', you will be given an option to send a welcome email to the new member. This will send an email with the member's username and computer-generated random password. Verbiage for this welcome message can be changed via MMS configuration, New Member Registration Configuration.
Case Sensitivity
When users have difficulty logging in, one of the most frequent explanations is that caps lock is turned on. If a user is having trouble and is asking for help, first confirm that they are capitalizing their username / password correctly (Example: JSmith is not the same as JSMITH or jsmith).
Resetting a member's password
Sometimes, members will forget their password and need to reset it. On the log-in form, there should be an option to allow the member to reset their password. The member will enter their email or username and an email will be sent to them with a link and instructions for a password reset.
This same password reset email can be sent by an admin-level user from within the member database admin. Edit the member's info by clicking on the pencil icon, then look for the link to the right of the username field.
There is also a link to re-send the member's welcome email, but this should only be used when a member is first being introduced to the system.
Granting access to all members at once
Within MMS Configuration, there is a link for 'Rollout Tools'. These can be used to grant access to members, by sending welcome emails to all members. First you will want to verify that the welcome message is formatted to your desired specifications (you can alter the verbiage via MMS Config, general config). Then, using the rollout tools, assign usernames/passwords to all the members (the script will do this for all members who do not already have one assigned). Then, you can use the rollout tools to send out the welcome messages to all members.
Granting access to non-members
You can grant access to non-members if you so choose (list-only records, prospects, etc.) using the process outlined in the previous section.
Administrative Access
If you are an admin-level user, you can grant admin-level access to other users. Edit their member record via member database admin, and set their Member Security drop-down to Administrative.
Member-specific Permissions
This option is available in MMS configuration, general configuration. With this setting turned on you can grant admin-level access to specific modules to member-level users, by checking off checkboxes at the bottom of the member profile edit page.
