The
Attendance Tracking module is an addition to the calendar of events system. This module allows an organization to track which members (or prospects) have attended a particular event. In addition, you can track the number of hours of participation for a member. Reports can be generated showing attendance and total hours spent.
Data Entry
The first step is to record the attendance data. To do this an admin must mark attendance one member at a time. To enter an attendance record (a record that would reflect the attendance of a member at a particular event), follow the steps below:
- From the admin menu, go to Events > Calendar Admin.
- At the bottom of this page, click the Attendance Tracking link.
- Find the event you would like to add an attendance record for, and click the edit (pencil) icon next to that event
- Click the Add New Attendance Record link on this page, and enter the necessary information for this attendance record before submitting to save.
Repeat these steps to add additional attendees. If you make an error, you can change the information for a particular member by using the edit (pencil) icon next to the attendee's name, or use the delete (red 'X') icon if you would like to delete the attendees information altogether.
Reporting
Once you've entered the data for your event, there are a few reports available to you. Additional reports will be added in the future. From the Attendance Tracking menu, click on the 'Attendance Reports' link at the top.
From this screen you can get summary data about multiple events (and the attendees) over a series of dates. Enter a range of dates, select either Group By Event or Group By Member, then click on Submit.
If you choose Group By Event, you will get a summary list of events that fell within that range of dates, and the total hours involved. click on the link of the particular event, and you will get a more detailed report of the attendees that attended the event.
If you choose Group By Member, it will work the other way around. You will get a summary list of members that attended events within that range of dates, and the total hours they participated. click on the link of the particular member, and you will get a more detailed report of the events that they attended.
