The member record edit page is where admins view and update data stored for an individual member. You reach it from the Member Database list: click the Edit icon on their row to open their record for editing. Creating a new member opens the same page with a blank record.

Access requires Member Database permission – either a member security level above the standard member level, full Member Database access, or prospect-only access (which limits you to prospect-type records). You cannot edit a record whose security level is higher than your own.


How the page is organized

The record is divided into collapsible cards (sections), which start collapsed so you can jump straight to the area you need – click a card's heading to expand it. At the bottom of the page is a sticky save bar that tracks your edits: as you change fields, it shows how many unsaved changes you have and in how many sections. Use Save Changes to write your edits, or Discard to abandon them. When you save, any collapsed cards expand automatically so the browser can flag required or invalid fields.


Which sections and fields appear depends heavily on your organization's configuration and the member's type, so your record may not show every section described below.


Main sections

  • Identity & Contact – Name, email address(es), phone numbers, username, and (where enabled) title/prefix, middle name, suffix, date of birth, gender, website, time zone, and a bio/profile. Once a member has a username, you'll see buttons to Send Welcome Email and Send Password Reset Email.
  • Employment / Business – Employer/business name, position, business categories, and employee counts. For some organizations this is where school district, dues overrides, or veteran-owned details appear.
  • Membership – The member's type, status (Active, Pending, Dropped, etc.), join date, member number, subgroup, referral source, and member rep. Drop/reinstate, convert-prospect-to-member, and similar lifecycle actions are launched from here. When a member has been dropped, the drop date, reason, and who dropped them are shown for reference.
  • Address – Primary mailing address (street, city, state, ZIP, county, country), with optional alternate address, region, and an “invalid address” flag. Includes Print Envelope and Print DYMO Label links, plus read-only geocode (lat/long) with an override link.
  • Billing (if enabled) – Billing email and address, recurring/one-time add-ons, and links to manage stored credit-card/autopay details through your payment processor.
  • Subscriptions & Privacy (if enabled) – Newsletter and email-list opt-ins, broadcast/renewal email suppression, and privacy options that control what shows in the member directory (hide phone, address, email, etc.).
  • Board / Leadership (if enabled) – Board-member flag, position, and rank.
  • Cross Reference (if enabled) – Links this record to a parent record and lists child/family records, with options to change the primary record or add a cross-referenced member.
  • Custom Fields (if configured) – Your organization's own auxiliary fields (text, dropdowns, checkboxes, and rich-text/admin-only fields).
  • Photos / Documents / Vehicles (if enabled) – Upload a profile photo and manage any member documents or vehicles.
  • Notes & Record History – An admin notes field (where enabled) plus a read-only history: when the record was created, who added it, who last changed it, and a link to the full Change Log.
  • Admin Permissions (full admins only) – Set the member's own security level and grant per-module feature permissions. 


Saving and related tools

All edits post together when you click Save Changes. Many actions on the page – sending emails, dropping/reinstating, managing photos, contacts, documents, or cross-references – open their own dedicated pages, so complete and save your field edits before navigating away to avoid losing them.
