QuickBooks Online - Mapping Classes to MMS Classes

Many organizations also assign classes to transactions in QuickBooks. You can also keep track of these classes on transactions in the MMS.

You will first need to create any Classes in QuickBooks Online, and then map them to the MMS. (For example, if you want to assign all transactions for an upcoming "Summer 2016 Conference" to a particular Class in QuickBooks.)

Here is the step-by-step process:

1.Create the Classes in QuickBooks Online. (For more details on how to do this, please refer to Intuit's documentation.)

2. Log in to the MMS as an admin.

3.Go into Membership Billing.

4.Under the Data Export subheading, click "Edit Classes".

5.Click "Add New Class" at the bottom of the screen.

6.Select a Product/Service from the QB Item dropdown and enter a name in the Class Name field.

• To maintain your sanity, we recommend using the same class name in the MMS that you use in QuickBooks.

7.Press "Submit".

8.Repeat steps 5-7 for all of the QuickBooks Classes you need to map to QuickBooks Classes.

F.A.Q.s

Q: I have Classes in QuickBooks for things that I don't use the MMS for. Do I need to map them to MMS Classes?
A: Nope. You only need to map the Classes that you will be offering through the MMS, you can ignore the rest. (This usually comes up when an organization has been using QuickBooks for several years and has Classes on products/services that they will no longer sell, e.g. "2009 Annual Conference".)

Q: What happens if I try to export a transaction that has not been mapped to a Class in QuickBooks?
A: This depends on how the interface has been configured:

• If you "require" Classes on all transactions, or if you assign the transaction an MMS Class, the export process will halt and give you an error.
• If you do not "require" classes on all transactions, and did not assign an MMS Class, the transaction will show up in QuickBooks without a class assigned.

Q: Do I have to use classes?
A: Nope. The interface will work just fine as long as you've mapped QuickBooks Products/Services to MMS G/L Accounts. If you do use Classes in QuickBooks, you should use them in the MMS as well to help you keep the two systems aligned.
