Dropping Members

As members receive notification (either via email notifications, phone calls, or printed invoices/statements), some will choose not to renew their membership.

If they receive an email notification, there is a link within the email to allow them to cancel their membership.  If the member clicks this link and follows the instructions, the member will be dropped.

To drop a member manually, use the Member Database Admin area.  Find the member, edit their record, and change their status to dropped. Some versions of the profile edit will have a 'drop this member' link, which you will need to use instead.

Batch Drops

There is an option available in the MMS to automatically drop a member for non-payment.  This is a batch process that runs at night.  If members are a set number of days past due, they will automatically be dropped.  The time-frame (number of days past due) can be set through MMS Configuration > Billing > Auto-drop Days.  If the Auto-Drop email field is entered in MMS Configuration, a warning email will be sent to this address to alert them (typically a membership director or admin) if someone is coming up for batch drop (it details the members who are scheduled to be dropped in the next 30 days, giving a membership director time to call and potentially get the member's dues payment).

The Batch Drop function is very powerful, and if not monitored or set-up properly can drop a large number of members causing chaos.  Because of this, you must request this function to be turned on.  Please contact us if you are interested in using the Batch Drop function.

Drop Methods

Members can be dropped from active membership in two different ways: Directly dropping the member, or dropping the member to a Prospect record.
Directly dropping the member will maintain the member's 'Membership Type', but change their 'Status' to  Dropped . This can be useful for reporting purposes, as you will be able to get an accurate count of the members who were dropped from particular membership plans.
Dropping the member to a Prospect record will maintain the member's  Active  'Status', but it will change their 'Membership Type' to Prospect. This will not allow you to report on dropped members from particular Membership Types, but it is useful for members who would like to self-reinstate their membership after dropping themselves.
